Operations Coordinator (Office & Team Support) with InMind

InMind is a robotics company based in Trondheim and Palo Alto, building technology for safe, smart, and efficient human-robot collaboration. Our first robot is designed to work alongside people, reduce manual workload, and improve efficiency in environments where traditional automation comes up short.
We are a highly skilled team of around 20 people, working closely across disciplines to bring advanced robotics into real-world use. With a working prototype already in place and ongoing collaboration with key pilot customers, we are now entering our next growth phase and expanding the team to strengthen execution and support continued development toward product and market.
One of the key roles we are now looking to fill is an Operations Coordinator (Office & Team Support) who will help create structure, coordination, and efficiency across our day-to-day operations. You will support the team by handling a broad range of administrative and operational tasks, enabling key contributors to stay focused on product development and execution. Working closely with leadership and the wider team, you will play an important role in keeping things moving, following up on practical matters, and supporting a productive and well-functioning work environment. Depending on your background and strengths, the role may also include support for team processes such as planning, follow-up, and Agile process facilitation[jo1] [TS2] .
What experience and qualifications do you bring?
The most important thing you bring to InMind is experience from administrative or operational roles where structure, follow-through, and the ability to handle many different tasks have been essential. You are comfortable working independently, know how to create order in a dynamic environment, and understand how good coordination can make a real difference to a growing team.
You may recognize yourself in some of the following:
Experience from administrative, operational, or coordination roles in small or growing companies
Ability to handle a broad range of tasks independently, with structure and good judgement
Experience in coordinating meetings, follow-up, practical logistics, and internal processes
Experience in supporting documentation, reporting, or other administrative workflows
Ability to work closely with both leadership and teams to create efficiency in day-to-day operations
Experience with team coordination, planning processes, or Scrum-related ways of working is an advantage
We would like you to communicate well in English, both written and spoken. Norwegian is an advantage, but not a requirement. Additional language skills are of course a plus.
We expect you to have at least five years of relevant work experience and education at Bachelor’s level, or equivalent experience from relevant operational or administrative roles.
